Role Register
Instructions for Use
This register defines every role the Company's governance assigns work to. Each role carries a stable key that the compliance obligations register (REG-005), the qualification type register (REG-006), the client qualification rules (REG-007), and the compliance management system use to name it. One row says what the governance calls the role, the other names it goes by, the training audience that reaches it, and the job title Human Resources gives it.
The three kinds of role.
- Position. A job a person is hired into, with a job description held by Human Resources.
- Designation. A duty the Company assigns to the holder of a position, such as the Compliance Officer or the Privacy & Security Officer. One person may hold a position and one or more designations. The supervisor designation is held by anyone who supervises another employee.
- Group. A set of roles named together. A group row lists its members by key, and a requirement that names the group applies to each member.
Names that are not roles. The engagement kinds (employee, contractor, intern, volunteer) are reserved words beside the role keys and never appear as a row; the training audience for every employee is the engagement kind employee. The Compliance Committee is a body whose membership POL-002 defines. A document owner is the role each controlled document names as its owner. A workforce member is anyone the Company engages, of any kind.
How to use this register:
- Name a role by its key wherever a register or the compliance management system names a role. A role title in a governance document resolves to its row by the title or one of the other names the row lists.
- When a governance document assigns work to a role this register does not hold, add the row in the same cycle.
- Retired roles keep their key with a Retired status. Keys are never reused.
- The responsibilities of each role, harvested from the governance with their sources, are defined in the role responsibility register (REG-009), which names each role by its key here.
Roles

Form Realization and Fallback
This is the canonical, authoritative version of Form REG-008, maintained in the compliance documentation. It defines the columns and vocabulary that any realization of the role register must capture.
Field contract. Each row defines: the key (lowercase words joined by hyphens, stable for the life of the role, never reused); the kind, given by its heading (position, designation, or group); the printed role title; the other names the governance uses for it; for a group, its member keys; the training audiences that reach it; the job title Human Resources gives it, where it is a position; the governing source; and the profile row it derives from, where one exists.
Derived from. Empty in this version. Where the row is later derived from a shared base register, the column names the base row.
Division of labor with the compliance management system. This register defines the roles. The compliance management system seeds its role catalog from the keys and titles here, expands a group to its members wherever a register names the group, and holds which person holds which role. It ingests this register at each approved revision, matching rows by key. A role retired here is closed there. Conflicts resolve in favor of this register.
The documented register here is always available as a fallback. It can be printed and used on paper whenever the electronic system is unavailable.
Retention
The register itself is a controlled document. Its revision history is its record. Which person holds which role is a personnel fact, retained with the personnel file under its governing documents.
